Membership Affairs COMMITTEE REPORT

Every VVA state council and chapter should take steps to review the security and storage of all Form DD-214s, along with any other documents that contain personal information. Whether the caretaker role is assigned to state council or chapter secretaries or membership chairs, this review must also include disposal by shredding, burning, or return of the Form DD-214s of deceased or non-renewed delegates and members. This process should be ongoing at the grassroots levels of VVA.

In an effort to monitor, have current contact information, and insure that state councils and chapters complete the election reporting required by the VVA Constitution, the VVA Membership Department is entering into the database whether an election report has been received from every state council and chapter. Please insure that you indicate if your chapter is on a one- or two-year election cycle. At the same time, financial reporting also will be entered into the database. Any state council or chapter failing to report will be placed on suspension until the report is received or the matter is resolved with the VVA Membership Department. Please note that the VVA Membership Department, rather than the Finance Department, is tracking financial reporting this year. This information will be provided to the VVA National Secretary on a continual basis. Noncompliance by any state council or chapter will be pursued until the matter is resolved.

The Membership Affairs Committee Seminar, “It’s Our Time! Membership Successes & Outreach Strategies,” held at the 2006 National Leadership Conference in Tucson was a success. Based on the 48 seminar surveys returned, nearly all who attended were very satisfied with the seminar.
